Management of the Project
The three management activities provide a solid and coherent framework for the performance of the other activities: integration, research and dissemination.
The objectives of the management activities are:
-
to define a common strategy that will lead research in this field in Europe (WP13.1 - Durability of the Network)
-
to define the decision-making rules and the EADGENE management manual needed for running the Network (WP14.1 - Strategic Management), with a clear role for the Governing Council, Management team and IPUDC.
-
to design, develop and implement all processes, perform the management of the Network activities (progress, deliverables, and administration) (WP15.1 - Activities Management).
The various means of improving the infrastructure for key people involved in the Network are explored case by case in agreement with each Partner’s policies.
Novel ways of improving communication and of generating knowledge within the Network (e.g. easy and friendly access to developed knowledge, deliverables produced, updating of documents & databases) and outside the Network (other projects, the public at large) are explored.

Management Team Objectives:

To implement the scientific orientations decided by the Governing Council

To prepare the Programme of the Activities and make progress reports on the state of advancement of the project

To will propose the budget and the allocation of funding between the partners

To establish the project deliverables
The Management Team shall more generally take any and all decisions required for the proper conduct of the project. Decisions shall be taken upon a majority of 4/5 of the members present or represented.

The work package includes the tasks of the Management Team and the Governing Council, the NoE reviews conducted regularly and the production of strategic documents (Interim activity report, Periodic Activity report, Draft-Planning, major changes in the NoE etc..). The work comprises all the interactions of the NoE coordinator with the European Commission (meetings, consolidated reporting) as well as public relationships (media, institutions, academia, and conferences).
Special attention is required to clarify the role of the Governing Council in decision making and strategic orientation by developing constructive interaction between EADGENE and the Governing Council. Specifically in case of problems arising with a partner for various reasons causing failure to full integration, solutions will be proposed and discussed with the GC at short notice in order to ensure proper research output and durability.
The work comprises also interactions with the IPUDC committee (IP representatives from all institutions participating) on any IP related issues in order to ensure optimal circulation of information and to guarantee durable integration of results respecting institution policy.

All the work package leaders, the activity leaders and the coordination team follow the whole of the progress of the work with the following tasks:

Coordination of management. This process contains the management plan, the management of interfaces, the analysis of advancement and the conclusion of the project.

Facilities management: planning for common resources, assignment of resources, measure and effective control of resources.

Communication management including communication plan, organisation, and control of interfaces.
-
Integrative knowledge management including planning, carrying out and controlling the shared knowledge.

Management of costs comprising cost estimation, budget, and cost control, including specific investment by the network
-
Follow-up of the preparation of calls for subcontracting, if any
-
Management of risks with identification, evaluation and control of risks.

Management of degree of excellence.
-
Management of legal aspects for the consortium agreement, partner contracts.
-
Management of joint research.
-
Management of spread of excellence.
The work deals with the conception, development, implementation and improvement of all processes. The work includes periodic updated reporting of the different processes periodically and supervising the preparation of the different deliverables produced by the work packages. The co-ordinator manages the interfaces between the different management modules and support the organisation of meetings (Partners meetings, reviews with the Commission, internal management meetings, and meetings between the activities members).
Activity leaders have to prepare and carry out the work, disseminate and exploit the results. Each leader is responsible for his activity progress and for the deliverables of this part of EADGENE. The following tasks are addressed:

Technical coordination of sub-projects and task execution.

Periodic update of the sub-project documents e.g. work-plan, preparation of the reports, publications.

Keeping an effective communication with other activities and the EADGENE management.

Identification and resolution of potential conflicts.
-
Preparation and submission of all the necessary information in order to analyse progress, results and performances.
The workpackage leaders carry out the administrative and technical management of their part and will transmit the necessary financial, technical and progress information to the coordination team.
